Studio Policies
Late Policy for classes:
To ensure a great class experience for all we ask that you not come in more than 5 minutes late to class. For safety reasons, we will not allow anyone who has not been properly warmed up into class. If you are late to class you will be marked as a late cancel and incur the late cancel fee.
Class Cancellations:
You can cancel your reservation without a late cancellation fee anytime prior to 12 hours before the start of your class. You can cancel on our app, our website, or by contacting the studio during normal business hours. Anything outside of that window will incur a $15 late cancellation fee.
Payment summary:
Memberships are billed in advance on the day of purchase and are automatically charged on a monthly basis. Memberships can not be shared. Members are required to keep a current credit card on file. If a payment fails, your account will be suspended until your payment method is updated and dues are paid. When you purchase a package, you agree to our Terms of Service.
Waitlist:
If you add yourself to the waitlist, you are solely responsible for monitoring whether you get in to a class or not. If you do get in, but don’t attend class or don’t cancel more than 12 hours before class starts, you will be charged a no-show fee and a late cancel fee. Please make sure to frequently check if you’ve been added as our system will populate automatically. It is your responsibility to take yourself off the waitlist if you’re unable to make it to allow for other clients to take class!
Late Cancel Fees:
If you don’t cancel more than 12 hours prior to the start of class, you will be charged a $15 late cancelation fee. If you have a package, the class will be added back to your account. We are unable to process refunds for late cancels.
No Show Fees:
If you don’t cancel and you do not attend your scheduled class, there will be a no-show fee of $20 charged to your card on file. We are unable to process refunds for no-show fees.
Membership cancellation:
To cancel your membership, we require 7 days' written notice before your next billing date. You can submit your cancellation request by emailing hi@the-body-collective.com, through your account in our app, or on our website. All outstanding balances must be paid in full before your cancellation can be processed. If your cancellation request is received fewer than 7 days before your next billing date, your upcoming payment will still be processed, and your membership will remain active through that billing period before ending.The Body Collective reserves the right to modify membership options, pricing, or policies at any time.
Attire:
We ask that you wear comfy Pilates clothes you can move in. Grip socks are required. We suggest a mat towel for our heated classes.
Credit card on file:
By placing a credit card on file under your account, the card holder and account holder give permission to the body collective and its authorized personnel to charge the card for any automatic charges, such as membership dues, late cancellation fees, and no-show fees. By enrolling in our auto renew memberships, you authorize the body collective to, on a regular basis automatically charge the card on file under your account for the associated membership dues or fees on your account on the billing due date. You understand and acknowledge that the body collective will initiate charges pursuant to this authorization not to exceed the amount shown on your Membership Agreement or the amounts stated above for late cancellations and no-shows.
Physical condition of client:
You represent, warrant, and agree that you are in good physical condition and that you do not have any disability, impairment, or ailment that (i) will prevent you from engaging in active or passive exercise or (ii) would be detrimental to your health, safety, comfort or physical condition if you engage in active or passive exercise. You acknowledge that the body collective has neither made claims as to medical results nor suggested medical treatment to you. You acknowledge that the body collective recommends you consult a physician prior to beginning this exercise program. You understand that it is your responsibility to inform the body collective of any pain experience before, during, or after participating in the exercise program, so that the exercise may be immediately terminated.
Assumption of risk:
There is an inherent risk of injury associated with participating in group fitness classes, including without limitation, injury from slipping and falling, excess fatigue or stress, muscle strain, exposure to coronavirus and other contagions, or any other unforeseen cause.
You agree as a client and member of the body collective to be solely responsible for your safety and well-being. By signing up and attending our classes, events and activities on the premises and with the equipment and facility of the body collective or affiliates, you hereby assume the risk for any harm, injury, or damage that may occur or result from the body collective’s facilities.
Release of liability:
In order to participate in our classes and access our facility you must agree to full responsibility for any and all injuries and damage which may be sustained during class and/or at the facility. You hereby fully and forever release, relinquish, acquit, and discharge the body collective, as well as its owners, employees, and agents (collectively, “Released Parties”) from any and all claims, demands, actions, causes of action and rights (whether known, unknown, contingent, accrued, inchoate, or otherwise) which you may have against the Released Parties arising out of or relating to the body collective’s acts or omissions. You expressly warrant and represent that no promise or agreement which is not herein expressed has been made to you and that you are not relying upon any statement or any representation of any of the Released Parties.
Red Light Technology Release of Liability:
By signing up for and participating in a class or session utilizing red light technology at The Body Collective, you acknowledge that you have been informed that the use of red light technology may involve certain risks, including but not limited to skin sensitivity, irritation, discomfort, headaches, or other adverse reactions.
You voluntarily assume all risks associated with participation and agree to follow all instructions provided by The Body Collective and its staff. You understand that red light technology is not intended to diagnose, treat, or cure any medical condition and is not a substitute for professional medical advice or treatment.
By participating, you confirm that you are responsible for determining whether red light technology is appropriate for you and agree to disclose any relevant health concerns, medications, photosensitivity, or other conditions that may affect your ability to safely participate.
By signing up for this class, you acknowledge these risks and voluntarily agree to release and hold harmless The Body Collective, its owners, employees, instructors, and affiliates from claims arising from your voluntary use of the red light technology, except to the extent caused by gross negligence or willful misconduct.
By booking this class, you acknowledge that you have read, understood, and voluntarily agree to this release.
Lost and found:
If something is left at the studio, we hold on to it for one week. After that, we will donate it, unless you ask us to hold it longer. We are not responsible for lost or stolen property.
Freeze Policy:
Members on a recurring monthly membership may freeze their account twice per calendar year for a minimum of 2 weeks and a maximum of 3 months. Freeze requests must be submitted at least 7 business days before your desired freeze start date. Your request should include your requested freeze start date and reactivation date. Requests submitted with insufficient notice may result in your next scheduled payment being processed before the freeze takes effect. Freeze requests can be submitted by emailing hi@the-body-collective.com or by speaking with a team member at the front desk. Your membership will automatically reactivate, and regular billing will resume, at the end of your selected freeze period, unless otherwise arranged with the studio.
Photo and video release:
You grant the body collective, its owners, employees, and authorized representatives the right to take photos, videos and audio recordings of you and your property while you are at the body collective for social media and marketing purposes. You agree that the body collective may use photographs or video footage of you with or without your name on it. You hereby grant the body collective the right to use your likeness, including photographs, video recordings, and audio recordings, for any and all lawful business purposes, including but not limited to, marketing and promotional materials and communications.
You understand and agree that the body collective shall be the exclusive owner of all copyrights and other intellectual property rights in and to the images, recordings, and materials created using your likeness.
You agree to waive any and all claims against the body collective, its owners, employees, and authorized representatives that relate to the use of your likeness, including, but not limited to, claims for invasion of privacy and rights of publicity.
In addition, you agree to be recorded at all times while in the studio to ensure the safety of our staff, the clients and the studio.
Teacher training:
Payment must be made in full upon registration in order to reserve your spot. No refunds are provided for the teacher training! If you are unable to attend or complete the training weekend, you must submit a two week written notice to hi@the-body-collective.com. After that, you are allowed a one-time transfer into another teacher training weekend. You must complete the requirements to receive certification. Once you begin the training, you will need to make up any missed hours and you must do so by booking and paying for private classes by a qualified staff member. You will have a month from the last training day to finish your required 10 classes. If they aren’t completed after the 4 weeks, then you must purchase the classes to complete your certification. There are no exceptions.

All sales are FINAL, we do not offer refunds or returns on any of our retail products.
